Hubdoc

Hubdoc is a document collection and data extraction tool that fetches financial documents — bills, receipts, and bank statements — from connected sources and extracts key data for publishing to accounting software. It is owned by Xero and bundled with most Xero subscriptions.

How accounting firms use it

The distinctive capability is automatic retrieval. Rather than waiting for a client to forward documents, the platform connects to bank, utility, telecom, and supplier portals and pulls statements and invoices on a schedule. For recurring monthly documents this removes the collection step entirely, which is the part of bookkeeping most dependent on client compliance and therefore most likely to delay a close.

Extracted data is published to the ledger with the source document attached, so the supporting record sits against the transaction rather than in a separate folder — useful at review and during audit.

Key features

Documents arrive by automatic fetch, email forwarding, mobile photo, or upload. Extraction captures supplier, date, amount, and tax, with the document image retained and linked to the published transaction.

Fetch connections need occasional maintenance: when a supplier changes its login process a connection breaks and has to be re-authorised, so the automation is close to hands-off rather than fully unattended.

Published data flows to Xero with coding rules applied per supplier, and the original document remains accessible from the transaction in the ledger indefinitely.

Who it’s best for

Firms working predominantly in Xero, where inclusion in the subscription makes it effectively free and the fetch feature covers recurring documents without client involvement.

Firms with clients on QuickBooks or Sage, high supplier invoice volume, or a need for line-item detail generally get more from Dext, AutoEntry, or Datamolino. A common arrangement is running Hubdoc for automatically fetched recurring statements alongside a second tool for supplier bills.
